How to Reconfigure a Polycom VoIP Phone

These steps will need to be completed by an Office Manager before connecting your Polycom desk phone
  1. Click on Inventory. (If you do not see Inventory, you may need to click the Manage Organization link at the top of your page.)
  2. Click on the Phone Hardware tab.
  3. Select the make and model of your phone from the dropdown list.
  4. Enter your MAC Address.  You can locate this on the back of your phone.
  5. Type the extension number or user that you want associated with this phone in the line 1 field.  The system will preview available options as you're typing for you to select.
  6. Click the Save button.


If you need to reconfigure your Polycom VoIP phone for a new provisioning server or update its settings, follow the steps below. This guide will walk you through setting up the phone with a static boot server and configuring the provisioning server settings.

Step-by-Step Instructions:

  1. Press the Menu/Home Key
    Start by accessing the phone’s menu by pressing the Menu/Home key on your Polycom VoIP phone.
  2. Select Settings
    Scroll down and choose Settings from the available options.
  3. Select Advanced Settings
  • You will be prompted to enter an administrator password. The default password is 456.
  • Once entered, select Advanced.
  1. Access Administration Settings
    From the Advanced menu, select Administration Settings to proceed.
  2. Open Network Settings
    Scroll to and select Network Settings.
  3. Configure the Provisioning Server
  • Under Network Settings, select Provisioning Server to adjust the provisioning configurations.
  1. Set Boot Server to Static
  • Navigate to the DHCP Menu within the Provisioning Server settings.
  • Locate the Boot Server option and change it to Static.
  • After making the change, press OK/Save to save the setting.
  1. Set Server Type and Address
  • Return to the Provisioning Server menu.
  • Change the Server Type to HTTP and press OK/Save.
  • Then, set the Server Address to:
    endpoints1-kcm.usipcom.com/cfg
    Press OK/Save to confirm.
  1. Save and Reboot
  • Exit back through the menus until the phone prompts you to Save the Configuration.
  • Once confirmed, the phone will automatically reboot. It may reboot multiple times to apply the new settings.

How to Factory Reset a Polycom VoIP Phone

Factory resetting a Polycom phone restores it to its original settings, wiping all custom configurations. This process is helpful when repurposing the phone or troubleshooting persistent issues.

Step-by-Step Factory Reset Instructions:

  1. Power Cycle the Phone
    Unplug the power or Ethernet cable (if using Power over Ethernet) to turn the phone off. Then plug it back in to restart the phone.
  2. Access the Setup Menu During Boot-Up
    As the phone starts to boot, you’ll need to press a specific key combination to interrupt the normal startup process:
  • Press and hold the following keys simultaneously:
  • On Polycom VVX series phones: Hold down 13, and 5
  • On older Polycom models: Hold down 01, and 3
  • Continue holding the keys until the password prompt appears.
  1. Enter the Admin Password
  • When prompted, enter the default admin password, which is usually 456.
  • If the password has been changed and you don’t know the new one, you'll need to contact the system administrator or reset the password through the provisioning server.
  1. Select the Reset Option
    Once the correct password is entered, the phone will display a menu with options. Choose the Factory Reset option.
  2. Confirm the Reset
    The phone will ask you to confirm the factory reset. Select Yes to proceed.
  3. Reboot and Restore Factory Defaults
    The phone will now reboot and restore its original factory settings. This process may take a few minutes. After rebooting, the phone will return to its default configuration, ready for setup.

How to Factory Reset a Polycom Phone Using the MAC Address

Follow the steps below to reset your Polycom phone to its factory settings without the admin password by using the MAC address as the password during the reset process.

Step-by-Step Instructions:

  1. Power Cycle the Phone
  • Unplug the power cord or Ethernet cable (if using Power over Ethernet) to turn off the phone.
  • Then plug it back in to power it on.
  1. Access the Setup Menu During Boot-Up
  • As the phone boots up, press and hold the following keys simultaneously:
  • On Polycom VVX series phones: Hold down 13, and 5.
  • On older Polycom models: Hold down 01, and 3.
  • Keep holding the keys until the password prompt appears.
  1. Enter the Phone's MAC Address as the Password
  • Instead of using the default or existing admin password, enter the phone’s MAC address as the password.
    The MAC address is a unique identifier for the phone, typically found on the back of the device or in the phone’s settings menu. It is a 12-character alphanumeric code, usually formatted as 00:04:F2:XX:XX(without the colons when entering the password).
  • Enter the MAC address in uppercase without the colons. For example, if the MAC address is 00:04:F2:1A:2B:3C, enter it as 0004F21A2B3C.
  1. Select Factory Reset
  • After entering the MAC address, the phone will give you access to the reset options.
  • Choose the Factory Reset option from the menu.
  1. Confirm the Reset
  • Confirm that you want to proceed with the factory reset.
  • The phone will reboot and start the factory reset process, restoring it to its original settings.
  1. Wait for the Phone to Reboot
  • The phone will reboot and erase all custom settings, profiles, and configurations. This process may take a few minutes.
  • After the reset, the phone will return to its default factory state and be ready for new configuration.
